The Facility department of the FSMA is currently hiring a new Facility Manager. As your Director's second‑in‑command, you will bring all projects in on time and on budget, and be the first point of contact for team leaders.
Where will you be working?
The Facility department is divided into two units, each headed by a team leader:
- the Soft Facility unit, a team of 19, is tasked with:
- welcoming visitors, managing meeting rooms, handling incoming mail, copying & binding documents, organizing events and performing various other administrative tasks (insurance management, management of a small fleet of cars, etc.);
- managing the kitchen and the company dining room: the kitchen staff prepares 150 meals a day for members of the FSMA staff, organizes lunches with external parties and provides some catering for events, sometimes in coordination with external catering services.
- the Hard Facility unit is in charge of the comprehensive proactive management of two buildings.
What will your job entail?
As the manager of the Facility department, you will, in close consultation with your Director, be entrusted with the following responsibilities:
- project management:
- you will bring all projects in on time and on budget. This will involve
- drawing up schedules;
- ensuring communication with the teams;
- monitoring progress;
- keeping your Director and the relevant departments updated.
- people management:
- you will be the first point of contact for team leaders. You will be responsible for
- solving problems within the teams or, if necessary, escalating them in a structured manner to your Director;
- acting as functional manager, in particular by defining personal development plans, setting goals and conducting appraisals.
- communication:
- you will organize internal communication within the department;
- you will report to your Director in a structured manner, making proposals for solutions in the event of problems;
- you will be the operational point of contact for other FSMA departments with regard to the duties of the Facility department, including the definition of requirements.
- safety:
- you will ensure that the necessary precautions are properly integrated into the procedures and activities required of employees.
What knowledge, experience and skills do you bring?
- A university degree (a specialization in a field relevant to the position is an asset).
- A first professional experience in an equivalent position.
- Solid competence in French and Dutch and a good command of English.
- Ability to serve as an effective interlocutor for workers and team leaders and, thanks to your background, to conduct technical discussions with various suppliers.
- Capacity to inspire and motivate a team, manage its tasks and priorities, and set a clear course.
- Active listening skills, flexibility, patience and goal-orientedness.
- Strong analytical skills with a touch of creativity: ability to carry out a critical analysis and to consider different courses of action, while at the same time creatively analyzing their feasibility and consequences.
- Decisiveness and ability to clearly identify all the steps required to carry out projects and to make the most effective decisions to implement them (or have them implemented).
